Benefits

What your pharmacy and supply chain teams gain on day one.

Real-time stock visibility

Every item in every storeroom, ward and satellite pharmacy updated in real time; no end-of-day stock reconciliation and no "phantom stock" discrepancies between physical and system counts.

FEFO expiry management

First-expiry-first-out batch selection is enforced at every dispensing event; configurable lead-time alerts notify store managers before batches expire, reducing write-off losses.

Automatic reorder alerts

When stock falls below the reorder point, a purchase request is automatically generated and routed to procurement for review; pharmacists and store managers approve with one click.

Cost-of-goods analysis

Consumption cost drilled to department, ward, clinician and diagnosis — giving pharmacy and finance leadership the data to drive formulary decisions and benchmark supply costs.

Procurement and receiving integration

Purchase orders from the procurement module flow directly to the goods receipt workflow; stock levels are updated the moment goods are received and inspected.

Return and transfer workflows

Expired or excess items are returned to vendor or transferred between stores with a full audit trail, inventory adjustment and GL posting — no off-system workarounds.

Part of metaSOFT ERP

Inventory & Stores is one of the integrated modules on the metaSOFT ERP platform — connecting clinical consumption to financial reporting in real time.

Inventory & Stores is the operational layer that connects clinical consumption in HMS to financial reporting in the ERP. When a pharmacist dispenses a medication in the HMS pharmacy module, the item is immediately deducted from the inventory record, and the cost-of-goods entry is posted to the GL account and cost centre. When a laboratory technician uses a reagent kit, the consumption is recorded against the department's inventory allocation.

For pharmacy directors and supply chain managers, the integration eliminates the monthly manual stock-count exercise as the primary source of truth. The system stock is the source of truth — physical counts are used to verify it, not to replace it. Procurement managers see the commitment position (items on open POs) alongside the current stock level, giving them a complete picture of what is available, what is arriving and what needs to be ordered.
